πŸš€Getting started

From sign-up to a ready-to-launch event in about 10 minutes.

Create your account and organization
  1. Go to the BoothHop dashboard and choose Create a free account.
  2. Confirm your email using the link we send you. Check your spam folder if it doesn't arrive within a few minutes.
  3. Name your organization, for example your company, association or school. It owns your events and your team, and attendees see it on your events.
Joining a colleague? Ask them to invite you under Team first, then sign up with the same email. You'll join their organization automatically, so you won't need to create your own.
Set up your first event with the guided setup

After you create your organization, the guided setup opens automatically. You can also start it any time from + New event β†’ Guided setup.

  1. Your event: the name, the attendee link (for example boothhop.ing/play.html?e=spring-expo), the dates and the venue.
  2. Look & feel: your event logo and two colours. They appear on attendees' phones, the big screen and printed cards.
  3. Booths: type one exhibitor per line. You can add logos, booth numbers and individual questions afterwards.
  4. Prize: what people can win, and how many stamps they need to enter the draw.
  5. Review: check the details and create the event.

Your event starts as Ready to launch. Attendees who open the link see an "Opening soon" page until you go live.

Your getting-started checklist

The Dashboard shows a checklist until your event is ready:

  • Add your booths
  • Give each booth a logo, which becomes its stamp
  • Add a question for each booth's staff to ask
  • Set a prize
  • Go live
  • Test it: sign up on your phone and scan a booth card

Click any item to jump to the right page. You can hide the checklist whenever you like.

βš™οΈEvent setup

Change your event's details, look and status under Event settings.

Event status: Ready, Live, Paused, Completed, Archived
StatusWhat attendees can do
Ready to launchSee an "Opening soon" page, plus your floor plan and vendor list if you've turned that on. They can't sign up yet.
LiveSign up, scan booths and collect stamps.
PausedSee their passport, but scanning is temporarily stopped. Use this for a break or a keynote.
CompletedSee their final passport and the leaderboard. No new stamps.
ArchivedNothing. The event is hidden from your event list.

Change the status from the Event status card on the Dashboard or in Event settings.

Change the event link, logo, colours or welcome message

Go to Event settings, change the fields and save. If you change the link name after printing posters, the old QR codes will stop working, so reprint them.

Logo tip: a square PNG with a transparent background, under 2 MB, looks best.
Leaderboard and sign-up options
  • Allow new sign-ups while live: turn this off to stop new registrations while still letting existing attendees collect stamps.
  • Show leaderboard to attendees: shows each player's first name, last initial and organization.
  • Show the floor plan and vendor list before launch: lets people plan their route from the "Opening soon" page. Unlimited

🏷️Booths & QR codes

Every booth gets its own QR code. Attendees scan it to collect that booth's stamp.

Add and edit booths

Go to Booths & QR codes β†’ + Add booth. For each booth you can set:

  • Name and booth number: shown on the attendee's map and vendor list.
  • Logo: becomes the stamp in the passport. Without one, we show the booth's initials.
  • Question for staff to ask: printed on the staff sheet. It turns a quick scan into a real conversation.
  • Points: give sponsors' booths more points to send more people their way.
  • Scan-only booths: untick Part of the passport game for an exhibitor who wants attendees to scan in but isn't taking part in the game. The visit is still recorded (and counts for lead sales), but it doesn't add stamps or points, appear on the leaderboard or count toward the prize draw.
  • Website: shown in the vendor list.

Free events can have up to 10 booths. Unlimited removes the limit.

Print booth QR cards and the staff sheet
  1. Go to Booths & QR codes β†’ πŸ–¨οΈ Print QR cards. Cards print four to a page, each with the booth name and a short backup code.
  2. Choose Print staff sheet to get each booth's question to hand to booth staff.
  3. Give each booth its card. Staff should keep the card hidden and only show it after the attendee answers their question.
Print tip: print on card stock and put each card in a table-top sign holder or on a lanyard for staff.
A QR code leaked or got photographed: replace it

Open the booth (Edit) β†’ Generate new QR code. The old card stops working straight away, so reprint the new card for that booth. Stamps people already collected are kept.

Add a booth challenge Unlimited

Instead of a plain scan, a booth can ask attendees to do something before they get the stamp. Open Booths, choose Edit on a booth, and pick a type under Booth challenge:

  • ❓ Quiz: one to five multiple-choice questions. Attendees need every answer right, and they can try again if they miss one.
  • πŸ“ Survey / poll: multiple-choice or written questions. Every answer counts. Answers appear under Responses and are included in the leads exhibitors buy, for attendees who opted in.
  • 🎬 Watch a video or πŸ“„ Download a document: paste a link. The stamp unlocks a set number of seconds after the attendee opens it.
  • 🀳 Upload a photo: attendees take or choose a photo. Your team can see them all, and download the list, under Responses.

Attendees still scan the booth's QR code first, so challenges can only be completed at the booth. If an event goes back to Free, challenges switch off and booths go back to a plain scan.

Run one challenge at every booth Unlimited

Open 🎯 Challenges and choose an Event challenge, such as a one-question survey or a photo. It runs at every booth before the stamp. The answers are yours and are never shared with exhibitors. See them under Responses, with the booth each answer came from.

Sell booth challenges to exhibitors Unlimited
  1. Set up payouts on the Lead sales page, if you haven't already.
  2. In 🎯 Challenges, tick Let exhibitors buy a booth challenge, set your price and save.
  3. Send exhibitors their private link (Copy exhibitor link). They'll see an Add your own booth challenge offer, pay by card, and build their quiz, survey, video, download or photo challenge themselves.

At a booth with its own challenge, attendees do your event challenge first, then the exhibitor's, before they get the stamp. The exhibitor can download the participants who opted in to share their details, with their answers. Your event challenge answers are never included.

Including a challenge in a sponsorship package? Use Give free next to the booth. BoothHop keeps the same commission as lead sales. Refunds within 24 hours switch the exhibitor's challenge off.

Make a booth required for the draw

Edit the booth and tick Required. Attendees must visit every required booth, as well as meet your minimum number of stamps, to qualify for the prize draw. It's a good fit for a title sponsor or a registration desk. Their passport shows which required booths are still left.

Print the attendee sign-up poster

On the Dashboard, find Attendee sign-up QR and choose Print poster, or Download PNG to use the QR in your own signage, slides or app. Put it at the entrance, the registration desk and on screens.

πŸ‘₯Attendees

Attendees take part in their phone's web browser. They don't need to download an app.

How attendees sign up and collect stamps
  1. They scan the sign-up poster with their phone camera.
  2. They enter their name, email and organization (optional), and can tick the optional box to share their details with exhibitors.
  3. At each booth they answer the staff's question, then tap Scan and point the camera at the booth's card.
  4. The booth's logo lands in their passport, and their points and rank update.

If a camera won't scan, attendees can tap Type the code instead and enter the backup code printed under the QR.

An attendee switched phones or lost their passport

On the sign-up page they tap Continue with your email and enter the same email. Their stamps come back.

Add a walk-in or award a stamp by hand

Go to Attendees β†’ + Add attendee, or open an existing attendee and tick the booths they visited. This is handy if a phone dies or a scan fails.

Export your attendee list Unlimited

Attendees β†’ ⬇ Export CSV downloads everyone with their stamps, points, winner status, consent to share, and a column for each booth.

πŸ“…Event day

A simple run-of-show for a smooth day.

Event-day checklist

The day before

  • Print the booth QR cards, staff sheet and sign-up poster.
  • Do a test: go live, sign up on your phone, scan one card, then remove yourself from Attendees.

When doors open

  • Set the event to Live.
  • Open the big-screen leaderboard (see below) on a screen near the main stage or food area.
  • Have welcome-desk staff point people to the poster.

During the event

  • Watch Visits by booth on the Dashboard. If a booth is quiet, give it more points or mention it from the stage.
  • Use Paused during keynotes if you want people seated.

At the end

  • Run the prize draw, set the event to Completed, and share reports with sponsors.
Show the live leaderboard on a big screen

On the Dashboard, choose Leaderboard & draw screen β†— and open it on a laptop connected to a TV or projector. It refreshes by itself and shows only first names and last initials.

Run a prize draw
  1. Open the draw screen: Winners β†’ 🎲 Open draw screen.
  2. Sign in if asked (only your team can draw winners).
  3. Choose the prize, how many winners, and the minimum number of stamps.
  4. Options: Skip people who have already won (on by default), and More points = more chances for a weighted draw.
  5. Click Start the draw. Names spin on screen, and winners are saved under Winners.
Tip: the screen shows how many players are eligible before you draw. If it says 0, lower the minimum stamps.

Upgrade an event

Choose Go Unlimited on the Dashboard (or Billing β†’ Upgrade) and pay securely by card through Stripe. The upgrade applies straight away, even during the event, and Stripe emails a receipt to whoever paid.

Refunds: for 24 hours after buying, owners and admins can refund an upgrade themselves under Billing β†’ Payment history β†’ Refund. After 24 hours the button disappears and purchases are non-refundable. A refunded event goes back to the Free plan straight away, and Free limits and locked features apply again. The money returns to the card in 5 to 10 business days.

When a free event reaches its attendee limit, new sign-ups pause and anyone already registered keeps playing. Upgrading reopens sign-ups immediately.

Floor plan Unlimited

Go to Floor plan β†’ ⬆ Upload floor plan (an image or PDF). Then pick a booth and click its spot on the map to drop a pin. Attendees see the map with the booths they've visited ticked off.

Reports Unlimited

Reports shows booth traffic, the engagement funnel, busiest times of day, organizations represented and top attendees. Pick one event, or several to combine them. Export summary, booth and attendee CSVs, or Print / Save PDF to send to sponsors.

πŸ’°Selling leads to exhibitors Unlimited

Exhibitors can buy the contact details of attendees who opted in to share them. The money is paid out to your bank account.

How lead sales work
  • At sign-up, attendees see an unticked box asking whether they'll share their name, email and organization with exhibitors. Only people who tick it are ever included.
  • You set the price for a booth's own visitors, for all opted-in attendees, or for both.
  • Each exhibitor gets a private link to their page, which shows their booth stats. They buy by card there and download a CSV that keeps updating during the event.
  • Stripe pays the money out to you. BoothHop keeps a small commission, shown on the Lead sales page.
Set up payouts (one time)
  1. Go to Lead sales β†’ Set up payouts.
  2. Complete Stripe's secure form inside BoothHop with your business details and bank account. It takes about 5 minutes, and you can stop and come back.
  3. When it says Payouts active, you're ready. Your payments and payouts appear on the same page.

Only owners and admins can manage payouts.

Turn on lead sales and send exhibitor links
  1. On Lead sales, tick Let exhibitors buy leads, enter your prices, and click Save.
  2. In the Exhibitors table, add each exhibitor's email.
  3. Click Email to open a ready-written message, or Copy link to send it yourself.
Keep links private: anyone with an exhibitor's link can see that booth's stats. If one is shared by mistake, choose Reset private link… and send the new one.
Include leads in a sponsorship package

In the Exhibitors table, use Give free… to unlock a booth's visitors or all attendees with no payment. You can take it back the same way.

Consent and anti-spam rules (CASL)
  • Keep the consent wording clear about who you're sharing with and why. You can edit it on the Lead sales page.
  • Attendees can change their answer any time from their passport. Lists downloaded after that change won't include them.
  • BoothHop records when each attendee agreed and the exact wording they saw.
  • Remind exhibitors that commercial emails need an unsubscribe link and must respect the consent given.

This is general information, not legal advice.

πŸ”Team & roles

Who can do what
RoleCan do
OwnerEverything, including managing the team, billing and payouts.

StaffEvent-day help: view the dashboard and attendees, add walk-ins, award stamps and draw winners.
Invite teammates and change roles

πŸ› οΈTroubleshooting

The camera won't scan a QR code
  • Make sure the attendee allowed camera access when asked. If they said no, they need to allow it in their browser settings for this site.
  • Improve the lighting, hold the card flat, and move the phone a little further away.
  • Tap Type the code instead and enter the backup code printed under the QR.
  • As a last resort, staff can award the stamp under Attendees.
"Sorry, this event has reached its sign-up limit"

Your free event has reached 50 attendees. Choose Go Unlimited on the Dashboard and sign-ups reopen straight away.

"That code is for a different event" or "That code isn't valid"

The attendee is scanning a card from another event, or an old card after you generated a new code. Check that you printed the cards for the right event and the latest codes.

Attendees see "Opening soon" or can't scan

Your event isn't Live yet, or it's Paused. Change the status on the Dashboard.

I didn't get the confirmation or password reset email

Check spam and promotions folders, wait a few minutes, then try again. Still nothing? Email us from the address you signed up with.

An exhibitor's link says it's no longer valid

The link was reset. Copy the current link from Lead sales β†’ Exhibitors and send it again. Any leads they've already bought stay unlocked.

I can't see Booths, Reports or Billing in the menu

You have the Staff role, which shows only event-day tools. Ask an owner to change your role under Team.

πŸ›‘οΈPrivacy & data

Who can see attendee information?

Only your organization's team. The public leaderboard shows first name, last initial and organization. Exhibitors only see attendees who opted in, and only if you sell or give them leads.

Delete an attendee or an event

Open an attendee under Attendees and choose Delete attendee, or delete the whole event from Event settings β†’ Delete this event. Deleted data can't be recovered, so export anything you need first.
